Primary Tutoring Privacy Policy

  • Identity and Contact Data:
    • Pupil's Full Name, Date of Birth, and School Information.
    • Parent/Guardian  Names, Addresses, Email Addresses, and Contact Telephone Numbers.
  • Sensitive Educational Data (Special Category Data):
    • Diagnostic Reports (from schools, educational psychologists, or other specialists).
    • Assessment Results and ongoing progress records.
    • Information concerning Special Educational Needs (SEN), disabilities, or medical       conditions relevant to the tutoring.
  • Financial Data: Payment details (though payment processing is typically handled      by a secure third-party provider, and we do not store full card details).

3. How We Use Your Information

We use this information solely for the following purposes:

  • To Provide Tutoring Services: To create a personalised learning plan,      schedule lessons, and track progress.
  • To Complete Diagnostic Assessments (Including Dyslexia Screening/Diagnosis):

  1. We use the pupil's Date of Birth and School Year to ensure the diagnostic tools are normed correctly.
  2. We use existing Sensitive Educational Data (such as school reports, previous assessments, and background information on educational history) to inform the diagnostic process.
  3. We use Parent and Teacher questionnaires to gain background information about a child’s history and academic performance. 
  4. Assessment results are analysed by Specialists (e.g., qualified assessors) to produce a comprehensive diagnostic report that identifies learning needs, including conditions like dyslexia. This report is then used to structure the tutoring intervention.

  • Safeguarding and Welfare: To ensure the safety and wellbeing of the pupil,      especially when managing educational needs or emergencies.
  • Communication: To send you updates, invoices, progress reports, and important information      regarding lessons.
  • Legal      Compliance: To meet our legal, accounting, and regulatory obligations.

4. Who Can Access the Data

We maintain strict controls over who can access sensitive data. Your information is shared only on a need-to-know basis with the following personnel:

  • Emily Ryle /Business Owner]: For administrative, planning, and oversight      purposes.
  • Tutors: The specific tutor(s) working directly with your child need access to the      pupil's name, contact information, learning plan, and relevant educational reports (SEN information, assessments) to deliver effective, tailored lessons.
  • Dyslexia Assessors: If we employ educational specialists (e.g., Dyslexia Assessors)      to complete diagnostic assessments for dyslexia. 

We will never sell or rent your personal data to any third party.


5. Data Storage and Security

  • Storage: Data is stored securely in encrypted cloud services and password protected digital files. 
  • Sharing:  Data is shared securely using encrypted cloud services or via email. Sensitive      Educational Data shared via email, such as diagnostic assessment reports, are password protected.

6. Data Retention

We will only retain your personal data for as long as necessary to fulfill the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.

  • Typically, we retain pupil records and educational data [1-2 years] after the final      lesson or assessment, after which it is securely deleted or anonymized.

7. Your Rights

As a parent or guardian, you have rights regarding the data we hold, including:

  • The right to be informed about how your data is being used (which this      policy covers).
  • The right of access to the personal data we hold about your child.
  • The right to rectification if the data we hold is inaccurate or      incomplete.
  • The right to erasure (the 'right to be forgotten'), in certain      circumstances.
